Word Templates With Point of Sales and Customer Relations Management

Overview:

CCS provides interoperability with Microsoft's Word and Excel to create template based documents that use data from CCS. This is similar to mail merge.

In this instruction, Documents and Templates are NOT used interchangeably. The difference between a document and template is not only indicated by the file extension: dot for template, doc for document, it is also in how Microsoft word behaves. Double clicking a Word Template will create a new Word document that has all the same features of the template, and follows the template’s rules. Double clicking a document will simply bring up an existing document. Any changes to a template will affect all the documents that use that template, changes to a document will only affect the document itself.

User Access:

These templates are accessible within CCS to the user from the contact form, event form, and invoice form from the toolbar: File - New Template.

Documents created by CCS are stored in the contacts folder, and sub folders for events and orders.

Setting up Templates:

CCS comes with a blank Template. dot file that provides the tools to create a connected document. The root directory to find these files in is usuall the Z Drive.

Templates can be stored in three places: CCSRoot \Files\WordTemplates (Contacts or Events or Service).

The original CCS Template is stored in CCS ROOT\Files\WordTemplates

To create a new template: 1. Copy the Template. dot file into one fo the folders, contacts, events or service. 2. Navigate to the folder the file was copied into, right click the dot file, select open. 3. Either type the information directly into the template file, or copy and paste existing text into the template. (It is recommended you also work with a printed document, and that you highlight the fields of data you'd like to come form CCS, and the fields of data you'd like users to input each time this document is created. 4. From the Templates Toolbar, you'll see a CCS Toolbar. 1. Update Document - For Specialized Documents Provided by CCS 2. Protect Doc - Press this button when done editing the template, this will prevent tampering of the template when it is used as a document. 3. Un Protect the document - requires password, default password is ccspwd. 4. CCS Fields this showes a form that will allow you to apply fields of data from CCS. Click on the field and it will show up in the currently selected area on the template. 5. Setup - Required if a new version of DLL is provided, you will be notified if this is required for use.

Setting up Form Fields.

Contacts & Orders From the CCS Toolbar in Word press the CCS Fields button. There are two groups of fields, Contacts and Orders.

To place these fields in the document, select the place where a fields is desired, then click on the field from the list.

Order Items. The order items can be retrieved if using a Word Form Field with the proper name assigned.

Press the abc button and place the field in the document. Each field must be properly named in order for the information to be placed in the document. Double click the form field, then enter one of the names listed below. The names must have the index number of the item at the end, for example, the first Product field must be named ProductName1.
