Retail Setup Introduction

This section outlines the features that should be addressed to get the retail store POS up and running properly in a short amount of time.

Add Customers, Vendors and Suppliers

Contacts should be entered that match the companies vendors, and manufacturers.

If these contacts are in Microsoft Outlook they may be imported. After they are imported their status type and contact type should be updated since the outlook does not maintain these types.

Contact Types

Contacts can be of many types. Sales departments may filter out contact types to be dealt with by certain staff. Purchasing departments require contact types, vendors manufacturers. Resellers require customers. Medical Device Retailers require insurance companies, doctors and more.

From the CRM Toolbar go to Contact Types, enter in the appropriate types the business uses.

This list can be printed for user training and reference.

Status of Contacts and Orders

The next type of feature to setup is the Status type of the contacts and orders. Status types refer to the current event's or work being completed with the Contact. This is a simple method for customer tracking.

Status's also are tied with events and transactions. This allows multiple events and status's to be used with one contact.

Referal Sources / Advertising / Coupons

Referral tracking is very important to CRM. Management should be reminded to track who refers contacts and new leads to the company so these referrals can be appreciated.

Each referral has a description and may have a contact linked with it.

Order Types & Event Management

The second set of features to review and setup are the events and transactions that will be used for the Sales & Support team.

This screen lists all the event types and transaction types that can be used. These items will determine how a user tracks their work and progress with customers. They can be used for quotes, invoices, phone calls purchasing, or any other type of work event that the company needs to track.

Inventory Entry

Products & Inventory Lists: Products, services and their fields and features can be imported as well. In most retail situations this is the best method to setup inventory and product lists.

Using the Excel Import tool, companies can build templates for excel import sheets. It is then up to the user to generate and format excel spread sheets that conform to their templates. Using this method thousands of items can be input into the system in a very short time. Refer to the Excel Import section of inventory.

There are numerous methods of creating import sheets. These are a few examples: Invoices from Vendors. Laptops with scanners for barcode entry. Exporting from another source, such as Quick books.
